Paper, email and e-Delivery in one workflow: how to keep important cases visible

Three channels, one register and clear ownership. A practical model for organising hybrid correspondence.

Paper, email and e-Delivery in one workflow: how to keep important cases visible

A modern company no longer has one mailbox. Documents arrive in envelopes, shared email accounts, individual inboxes and electronic-delivery systems. The problem is not the number of channels but the lack of common information showing that a case has arrived and who owns it.

One register instead of three lists

Regardless of channel, every material item should receive an identifier, receipt date, category, owner and deadline. The register need not store the full document but should link to the correct file or paper location.

Classify by case, not channel

A paper invoice and electronic invoice belong to the same finance process. A complaint received by email and one received by post should enter the same responsibility queue. Channel is useful technical data, not the primary work structure.

Assign an owner and cover

Each category needs a responsible person or team and a cover rule. Forwarding to a departmental inbox does not prove that someone accepted the case. An acknowledged status and time-based escalation provide better control.

Separate urgency from importance

Not every registered letter is urgent, and not every ordinary email is unimportant. Priority should follow the case type, response deadline, consequences of inaction and relationship with the sender.

Keep evidence and history

Paper items may require proof of posting or delivery, electronic delivery creates digital evidence, and email requires the complete message with attachments. All elements should be linked to one case and available only to authorised people.

Measure the entire workflow

Reporting should show case volume by category, first-routing time, overdue items and returns. This reveals genuine bottlenecks instead of simply comparing channel volumes.

A hybrid workflow succeeds when staff do not need to remember which inbox contained a document. They see one case, status, deadline, owner and complete evidence. Technology helps, but shared classification and ownership rules remain the foundation.

Frequently asked questions

Must every email be registered?

No. Registration should apply to messages that meet agreed business or legal criteria.

Can the paper original be destroyed after scanning?

Not automatically. It depends on the document, legal requirements and retention policy.
